Plan projects, track every task and see what's late before it hurts.
Keep projects and tasks linked in one base. Plan dates on a Gantt chart with dependencies, run the week from a kanban board, and let a formula flag anything overdue so nothing slips quietly.
- Gantt view with task dependencies
- Projects and tasks linked both ways
- Overdue flag computed by a formula
| Task | Project | Owner | Due | Status | Overdue |

| Finalize wireframes | Website redesign | Lena | Oct 14 | In progress | Overdue |

Everyday workflows
Projects and tasks that stay connected
Create a «Projects» table and a «Tasks» table joined by a link field. Each task points to its project, and the project gets the inverse list automatically. Group the tasks grid by project and status to see where each one stands, and use the summary bar to count what is still open.
A Gantt chart with real dependencies
Give each task a «Start» and «Due» date and a self-link called «Depends on». The Gantt view draws every task as a bar with its dependencies, so when the design phase moves, you see which build tasks are waiting on it. Drag bars to replan, and the whole team sees the new dates live.
Overdue work flagged automatically
Add a formula like IF(AND(IS_BEFORE({Due}, TODAY()), {Status} != "Done"), "Overdue", "") and a second one, DATETIME_DIFF({Due}, TODAY(), 'days'), for days left. Save a view filtered to «Overdue is not empty», sorted by due date, and open it in Monday's standup.
A weekly board for the team
A kanban view stacks tasks by «Status»: To do, In progress, In review, Blocked, Done. People drag their cards as work moves. Questions go in record comments with an @mention so the right person is notified, and the change history shows who moved a date and when.
A portfolio timeline for leadership
On the «Projects» table, add «Kickoff» and «Launch» dates and a «Phase» single select. A timeline view lays every project across the quarter so overlaps are obvious. Share the base with stakeholders as viewers: they see the plan update in real time but can't change it.
Views & structure
Key views
- Gantt Plan task dates and see which tasks depend on which before you move anything.
- Kanban Run the week: drag task cards from To do to Done.
- Timeline Show every project across the quarter to spot overlapping launches.
- Grid Filter overdue tasks, group by owner and edit dates in bulk.
- List Nest tasks under their project for a clean outline of the plan.
Recommended fields
- Project (Link to another record) Ties each task to its project; the project lists its tasks automatically.
- Depends on (Link to another record) Self-link between tasks that powers the Gantt dependencies.
- Start / Due (Date) Drive the Gantt bars, the timeline and the overdue formula.
- Status (Single select) Colored stages that become the kanban columns.
- Owner (Link to another record) Points to a «Team» table so each person sees their tasks.
- Overdue (Formula) Marks tasks past due that aren't done yet.
- Priority (Rating) Quick 1–5 stars to sort what matters first.
Your agent over MCP
Connect your own agent (Claude, ChatGPT, Codex or Cursor) over MCP. It can set up the project base, break a brief into linked tasks, and answer status questions by querying your tasks. Its edits appear live for the team and are marked in history.
